10/22/2012 – cPanel Email Functionality

The importance of being able to communicate with your customers is a vital part of doing business. This is especially important to those businesses who count on their websites as their methods to promote their products and services. When a current or potential customer has a question, you must be able to receive their messages and respond to them. Most businesses also keep in touch with their current customers and reach out to potential customers through various email strategies such as newsletters or other promotional materials. Therefore, having the necessary email tools is invaluable to any online business owner.


cPanel has built in functionality that gives your clients the tools they need to communicate with their customers. The cPanel software also allows them to manage and direct internal email communications as well. Some of the many email features that cPanel offers are listed here:

While we lack the available space to address each of these features, there are a few that we would like to discuss briefly.


The number of individual email accounts that an account may have can be set in the host’s WHM. Some hosts allow for 50 email accounts per cPanel account, while other hosts allow for an indefinite number of email accounts. The number of email accounts to allow is solely a business decision of each web host.


However, many email accounts you allow your clients, they have the flexibility to set up and maintain those accounts for themselves or for other users. From the cPanel interface, they can change passwords, manage quotas, auto-configure the email account for external email clients such as Outlook, Outlook Express, Thunderbird, etc.


Normally, the MX entries are already setup for your clients when you setup their account in WHM. However, there may be times when your client(s) may want to have a different mail service handle their email, such as Google Apps for example. They can set up this email address change through the MX Entry button in the cPanel. Before they do this, however, they should have the address information from their new email exchange and should consult with them as to what entries to change.


Another function that especially useful is SpamAssassin. SpamAssassin is completely automated and when enabled it scans the inbound messages’ header and body for indications of spam. Any spam messages are either deleted or sent to a “Junk” folder.


Autoresponders, forwarders, and especially mailing lists are all critical components to any Internet business. While it is simple to manage your email campaigns through the cPanel interface, please remember that most web hosts and server owners have a limit on the maximum number of emails that can be sent from each account. These limits are typically imposed on a certain number of emails per hour.
